Zimbra FAQ
Can I send large files with Zimbra?
The current maximum file size that can be attached to an email is limited to 10 MB. For larger files, we suggest using the Briefcase functionality of Zimbra to post documents that you can then share. OIT also recommends services like YouSendIt if sending files off campus.
How much email can I store before my quota is reached?
For students, storage capacity is 500 MB.
For faculty and staff - including retired faculty, storage capacity is 1000 MB.
For alumni, storage capacity is 50 MB. We recommend forwarding your email to a private email address post-graduation.
It is important to note that this figure covers not just your email messages, but also any files you may have created in the Notebook or any files you have uploaded to the Briefcase while using the Zimbra collaboration suite.

Can I still use Thunderbird? What about Meeting Maker?
Zimbra collaboration suite is a combination of email, calendar, document sharing and other tools. Zimbra provides a web client that takes the place of Webmail when you click the Log In button on any Washington College page. This web client also provides access to the other features of Zimbra, removing the need to log in to a separate calendar, for instance. As such, Zimbra replaces the former Washington College email (Squirrel Mail) and calendar (Meeting Maker) services completely.
Zimbra email works with many popular desktop email applications including Thunderbird, Mail, Outlook, Entourage and more. For set up instructions, contact the HelpDesk at 410-778-7777.
Zimbra calendar does away with the need for the Meeting Maker desktop application. Zimbra calendar can sync with iCal or Microsoft Outlook among other popular calendaring apps.

Why is it that sometimes when I receive a shared notebook, briefcase or folder request, I cannot accept it because of its name?
Zimbra utilizes a "flat file system" to store shared briefcases, notebooks, calendars and folders. What this means is that your shared resources should not have the same names. By default, Zimbra will name an incoming shared request with the user's name and the name of the item being shared. So, for example:
If George Washington has a notebook named "Revolution" and a briefcase named "Revolution" and shares them both with another user, both of these items will appear as "George Washington's Revolution" to the user accepting them. The second resource accepted by this user will therefore be rejected for having the same name.
To prevent duplicate name errors from occuring when accepting briefcases, notebooks and more with your peers, be sure to always rename their shared resources. When you receive a share request, change the name for the resource within the request dialog box after clicking "Accept" in the request message window.

How do I forward my email to another account?
To forward all your mail, follow the instructions on page 61 of the Zimbra Web Client user guide - extracted for you here.
Why can't I save attachments to my Briefcase?
Zimbra gives users the option of viewing mail in a single window, like with Gmail or Hotmail or by using pop up windows, mimicking the style of older email clients. If you switch your preferences to open messages in pop up windows when double clicked, you will not be able to save attachments to your Briefcase. For this reason, we recommend leaving this setting as it is set by default.
Is it possible to see who has accepted a meeting proposal and who hasn't?
Yes.
For meetings you have created, double click the meeting on your calendar to open its details. Then, click the Schedule tab to see a list of attendees. Attendees will be marked with a check mark, "x" or question mark depending on whether they have accepted, declined or made no decision yet, respecively.
How do I print an entire email from the web client?
To print using the Zimbra web client, be sure to always use the print button
in the Zimbra toolbar instead of choosing File > Print in your browser. This will give you a much better, formatted email print out that contains your complete message.
Can I hide my free and busy time from others?
You can set each of your calendars to hide free and busy time from other users viewing the Schedule tab when setting up meetings. To do so, right-click on the calendar you would like to conceal. Then, choose Edit Properties. Finally, click the checkbox next to Exclude this calendar when reporting free/busy times.
Can I make my calendars or briefcases public?
It is possible to share a calendar or briefcase with users outside of Washington College. To do so, set the Share With: field to Public and then copy the URL at the bottom before clicking OK. You may share this URL with others to give them view-only access to your calendar or briefcase.
Does Zimbra support return receipts? BCC?
Currently, Zimbra does not support return receipts, though we hope to have this implemented by the Fall semester with a planned Zimbra upgrade.
BCC does work within Zimbra - just click Show BCC next to the CC field.
My local folders take up more space than my Zimbra quota. What should I do?
If your local folders in Thunderbird, Mail, Outlook, etc. add up to be more than your email quota for Zimbra, OIT recommends either paring down to just essential folders when copying to the server or continuing to use the mail application you have been using. While Zimbra provides 10 to 20 times more storage space, it is still not limitless and will require smart planning for heavy email users.
For help setting up mail applications, please contact the HelpDesk at 410-778-7777.
Can I sync my Zimbra address books with Thunderbird's Address Book?
Yes.
